The daily planning chaos: who does what?

Do you know that? Tomorrow is garbage collection day again and you're sitting in the office thinking: Which bins need to be put out? Who has time? Who was last? And most importantly: who has already been informed? Planning trash can allocations is one of the most common daily tasks in facility management - and at the same time one of the most frustrating when there is no overview.

Until now, janitors and office workers had to switch back and forth between calendars, WhatsApp groups and handwritten lists to find out which pickups were due and who would take care of them. Something often got lost: sometimes an allocation was forgotten, sometimes the responsible employee didn't know, sometimes the bin was still in the yard the next morning. This is exactly where our new allocation planning in the collection calendar comes into play.

The new planning overview: All information at a glance

With the current update of the collection calendar, you will receive a complete overview of all upcoming collections - including the most important information for planning. The table not only shows you the date, waste type and object, but also the central question: Is this collection already assigned, and if so, to whom?

The new status information is particularly helpful for your daily planning. You can see at a glance whether a bin has already been put out, whether it has already been brought back in or whether nothing has happened yet. This information is updated in real time as your employees change status in the app. So you know exactly where you stand at all times - without questions, without phone calls.

Step 1: Use filters for daily planning

The new filter function is your best friend in daily planning. Open the organization calendar and click the filter icon. Here you'll find two new options designed specifically for assignment planning:

You can use the “Assignment Status” filter to specifically search for specific states. Select "Unassigned" to see all upcoming pickups that are not yet assigned to an employee - ideal for planning tomorrow. Or filter by "Assigned" to check if all appointments are already distributed. The "Assigned to" filter also allows you to view all pickups by a specific employee - useful for checking your team's workload.

Step 2: Make assignments directly in the overview

Did you find an unassigned appointment? No problem! In the "Actions" column you will find the menu symbol (three dots) for each entry. Clicking on it opens the action menu where you can select “Assign Employees”. The familiar assignment dialog opens in which you can select from all available employees.

The assignment is saved immediately and the employee automatically receives an email notification and a push notification on their smartphone. At the same time, the table in your office updates in real time - the entry now shows the name of the assigned employee and the status "Pending". This means you always have a complete overview of all assignments.

Step 3: Track status updates

The new status column is the heart of the overview. Here you can see exactly how far your team has progressed with each task. A blue badge with "Pending" means: The pickup has been assigned, but the bin has not yet been put out. An orange “Exited” shows you that the employee has completed their task – including a time stamp as to when exactly that happened.

The green “Completed” badge appears as soon as the employee has collected the bin again. If you move your mouse over a status badge, a tooltip shows detailed information - for example, if it is "Completed", it tells you when the bin was put out and when it was picked up again. This transparency not only helps you with planning, but also with documentation for owners and administrations.

Practical tip: How to plan efficiently for tomorrow

We recommend the following workflow for your daily planning: Open the organizational calendar in the morning and set the date filter to "Today" and "Tomorrow". Then enable the "Unassigned" filter to see all pending pickups that do not yet have an assignment. This means you can immediately see all the appointments that still need to be planned.

Go through the list and assign each unassigned appointment to an available employee. Pay attention to the geographical proximity of the objects - this way you can optimize routes. Once all assignments are completed, remove the "Unassigned" filter to see the complete overview for the next two days. This look into the future helps you identify bottlenecks early and coordinate the team better.

For admins: All permissions at a glance

The new assignment scheduling is available exclusively to administrators. We made this decision consciously so as not to overwhelm normal employees. While your team can concentrate on their own task list ("My garbage can tasks" in the menu), you as an admin keep track of all assignments and can intervene specifically if something doesn't go according to plan.

The admin view also shows you useful information such as the name of the person who made an assignment and the exact time of the assignment. This audit trail function not only helps you with planning, but also with documentation and in case of questions from employees or customers.

Conclusion: Less stress, more overview

The new allocation planning in the collection calendar is more than just an additional column in a table - it is your central tool for efficient facility management. With the new filters you can quickly find what you are looking for. With the status display you always know where you are. And you save valuable time with the direct assignment function from the overview.
